Managing your subscriptions

Renewing your subscription  

Vani supports three types of subscription renewals:

Automatic renewal (recurring)
Your subscription renews automatically at the end of each billing cycle using your saved payment method. If the payment fails, Zoho will retry before suspending the subscription.

Manual renewal (one time subscription)
If you are on a one time subscription, the plan will not renew automatically. You will need to renew manually before the expiration date to continue using Vani. A renewal option will appear in your Zoho billing page when you are close to your expiration date.

India auto recurring rules
For customers in India, automatic renewals follow RBI guidelines. Auto payments work for transactions up to ₹15,000. For higher amounts, renewal must be done manually. If a payment is pending or being verified, you may not be able to make other subscription changes until the payment is confirmed.

 How to upgrade your plan   

You can upgrade from the Free plan to a paid plan anytime.
To upgrade:

  1. Open Vani.

  2. Click your profile icon.

  3. Go to SettingsPlan and Billing.

  4. Click Manage under your current plan to open the Zoho Store.

  5. Select your preferred plan and billing cycle.

  6. Review user licenses and complete the payment.


After payment:
  • Your plan upgrades instantly

  • Your renewal date will be displayed in the Zoho Store

  • You can upload your tax exemption certificate if applicable

Downgrading your subscription
   

You can modify your current subscription at any time during your billing cycle. This includes upgrading, downgrading, or adjusting add-ons. The process starts inside Vani and continues in the Zoho Store, where all subscription changes are completed.

How to access the Manage Subscription page  

  1. Open Vani and click your profile icon.

  2. Go to Settings → Plan and Billing.

  3. Under your current plan, click Manage. This redirects you to the Zoho Store.

  4. In the Zoho Store, select Manage Subscription.
    You will now be taken to the subscription dashboard for Vani.

What you can do on the Manage Subscription page  

From the Manage Subscription page, you can perform the following actions:

  • Change Plan – Move to another available subscription plan.

  • Upgrade Add-ons – Add more features or services.

  • Downgrade Add-ons – Remove or reduce existing add-ons.

  • View Payment History – Review transaction history for this service.

How to cancel your subscription  

If your paid plan no longer fits your needs, you can cancel your subscription at any time. After cancellation, your account will automatically move to the Free plan. Paid access remains active until the end of your billing cycle unless you choose immediate downgrade.

To cancel:

  1. Open Vani.

  2. Go to SettingsPlan and Billing.

  3. Click Manage to open the Zoho Store

  4. Scroll down and select Cancel Subscription.

  5. Choose a reason.

  6. Choose Immediate Downgrade or End of Cycle Downgrade.

  7. Confirm cancelation.

License management
  

Adding or removing users  

To add users

  1. Click your profile icon.

  2. Go to Settings.

  3. Select Team Settings.

  4. Click Invite People.

  5. Enter email and choose Member or Admin.

  6. Send invite.



To remove users
  1. Go to Team Settings.

  2. Hover over the user.

  3. Click the ellipsis.

  4. Select Info, Deactivate, or Remove from team

Including a user mid-cycle

To add a user during an active billing cycle:

  1. Click your profile icon at the top-right corner of the Vani interface.

  2. Go to Settings and open the Plan & Billing tab.

  3. Under the License Purchased section, click Buy More.

  4. You’ll be redirected to the Zoho Store.

  5. From there, purchase the additional license for the new user.

Once the purchase is complete, the new license will be added to your account immediately, and charges will be prorated for the remaining duration of the current billing cycle.

Who can manage billing and plans
  

Only the Super Admin can manage billing and subscription settings in Vani. There can only be one Super Admin. Other roles cannot access billing.

Transferring billing ownership  

Billing ownership is tied to the Super Admin role. If the current Super Admin assigns another user as Super Admin, billing ownership automatically transfers to that person.

What happens to your Spaces after the plan is cancelled

When you cancel, your account moves to the Free plan. Individual Spaces created under the paid plan are archived for the team unless the spaces are given team access.

Individual sharing is restricted, team shared spaces will be available.
