What Happens When You Downgrade from the Vani Business Plan

Downgrading from the Business Plan in Vani

Downgrading from the Business plan in Vani may affect certain features and access levels within your team. When your plan no longer supports specific capabilities, such as advanced collaboration or external sharing, some teams may be moved to an archived state.

Understanding how downgrading works and what happens to your data helps you manage your workspace without losing important information.

What happens when you downgrade

When you downgrade from the Business plan to a lower plan, your team will no longer have access to Business plan features.

Depending on your new plan and usage limits, the following changes may occur:

  • Access to advanced features may be restricted

  • External sharing and guest access may be disabled

  • Certain capabilities such as database tables or integrations may no longer be available

  • Teams that exceed plan limits may be archived

Your existing data is not deleted, but access to it may be limited based on your plan.

What are archived teams

Archived teams are teams that are no longer active under your current plan but are preserved to prevent data loss.

When a team is archived:

  • The team becomes read-only or inaccessible for active collaboration

  • Users cannot create or edit content within that team

  • Existing data, Spaces, and content are retained

  • The team remains stored until it is reactivated or upgraded

Archiving ensures that your work is not lost, even if your current plan does not support that team.

When teams become archived

A team may become archived when your current plan no longer supports the number of teams or features in use.

This typically happens when:

  • You downgrade from the Business plan to a lower-tier plan

  • Your new plan has limitations on the number of active teams or features

  • Your existing usage exceeds what is allowed in the downgraded plan

In such cases, one or more teams may be automatically archived to comply with plan limits.

How to restore an archived team

To restore access to an archived team, you need to upgrade your plan or adjust your usage to meet the plan limits.

You can:

  • Upgrade back to the Business plan

  • Reduce the number of active teams or usage

  • Re-enable features required for that team

Once your plan supports it, archived teams can be reactivated and used normally again.

Important notes

  • Archiving does not delete your data

  • Archived teams cannot be edited until restored

  • Only users with sufficient permissions (such as Super Admin) can manage plan changes

  • Feature availability depends on your current subscription plan
