Sharing your Space in Vani: With teammates or beyond

Once you're ready to share your work, Vani gives you multiple ways to do it. You can invite teammates to collaborate, or share your Space with people outside your team when needed.

 Sharing with teammates (Spacemates)
 
When you share a Space with someone on your team, they become a Spacemate. A Spacemate is a collaborator in the Space with specific access permissions.

To add a Spacemate:
  1. Click Share in the top-right corner of the Space to open the collaborator pane (or open it from the Space menu).
  2. Under Add Spacemates, enter the teammate’s email.
  3. Choose their Space permission level (Organizer, Editor, Commenter, or Viewer).
  4. Select which Zones they can access, either all Zones or specific ones.
  5. Click Add to Space.
You can also click Share with Team to give access to your entire team at once.

Info
If someone is added both individually and through the team, the highest level of access will apply.

Managing Spacemates

You can update access settings from the Collaborator pane anytime:
  • Change Space permission levels(Organizer, Editor, Commenter, Viewer.)
  • Modify Zone access
  • Remove someone from the Space
Notes
Only the Owner and Organizers of a Space can manage these permissions. Organizers cannot modify the Owner’s access.
 

Sharing a specific location in the Space 

Spaces are infinite canvases, and sometimes you want to share a specific location so your Spacemates doesn't get lost. You can do this in a few ways:
  • Using the Space link: Copy the current URL. It opens the exact spot you're viewing.
  • Using the Pin tool: In the Pin pane, click Copy link next to a Pin.

  • Using a selected object or frame: Right-click the item and select Copy link to selection.
  • Using a comment: Click the three dots next to a comment and choose Copy comment link.

Notes
These links only work if the recipient already has access to the Space.
 

Sharing a Space externally

Need to share your Space with someone outside your team, like a client or partner? To share externally:
  1. Open the Collaborator pane,
  2. Under Who can access, click Change,
  3. Choose Anyone with the link,
  4. Click Apply to generate the link,


You can control access by:
  • Setting a password
  • Adding an expiration date
  • Choosing permissions for external users (edit, comment, or view)
  • Providing access to only specific Zones
External collaborators don’t need a Vani account to view the Space.

Embedding a Vani Space in other tools    
  

You can embed your Space on other platforms and allow people to view or interact with it there.
Open the Collaborator pane, click Get embed code, and set who can view or use it. You can also choose whether to show Flows in the embedded view.
