Working with media in Vani

Media allows you to bring more context, richness, and engagement into your Space. By adding images, videos, audio clips, and voice notes, you can move beyond plain text and create a more interactive and collaborative workspace.

Every media item added by you or your team is automatically stored in the Media library, making it easy to find and reuse across multiple Zones. This reduces duplication and ensures that everyone on your team is working with the same set of assets.



Adding media to a Space  

To insert media into the Space, you can:

  • Drag and drop files directly onto the canvas.
  • Click Upload from the l toolbar and choose Images, Audio, or Video.

Adding images and GIFs  
Images and GIFs are especially useful for visual brainstorming, mood boards, wireframes, or presentations.

To add an image or GIF:

  • Click Upload under the Images tab to browse for files. You can also click the Cloud icon to bring in files from platforms like Microsoft OneDrive or Zoho WorkDrive.

  • Supported formats include JPEG, PNG, and GIF


Resizing Images ​
Images uploaded to your Space can be resized to fit your layout or enhance the visual balance of your Space.

To resize an image:

  1. Select the image you want to modify.

  2. Click and drag any edge or corner handle to adjust its size.

This allows you to scale images freely based on the available space or visual composition of your design.​

Adding audio clips

Audio can be used for meeting summaries, quick notes, or collaborative content.
To upload audio:
  • Go to the Audio tab in Upload and click Upload to browse for files. You can also click the Cloud icon to bring in files from other connected platforms, such as Microsoft OneDrive or Zoho WorkDrive.
  • Supported formats include MP3, WAV, and M4A.

Record a voice note  

Voice notes are handy for capturing quick ideas, sharing detailed instructions, or adding personal feedback during collaboration.

To record and add a voice note,:

  • Click the microphone icon.
  • Click the stop icon when you're done. The recording will be added to the Space.

 

You can close the media library while recording. A floating pane will appear where you can continue working in the Space.

Voice notes are saved in the media library and can be reused in other Zones.

Adding videos

To upload a video, go to the Video tab and click upload to browse for files. You can also click the Cloud icon to bring in files from other connected platforms, such as Microsoft OneDrive or Zoho WorkDrive.


Resizing Videos   

Videos uploaded to your Space can be resized to improve visibility or layout alignment.

To resize a video:

  1. Select the video you want to modify.

  2. Click and drag any edge or corner handle to adjust its size.

Resizing helps you maintain a clean and proportional layout while keeping video content clear and accessible.​

Formatting images  

To format an image:

  1. Select the image in the Space
  2. Click Format from the right-side toolbar
  3. Under Image, you can:
  • Adjust transparency
  • Add or modify outlines (stroke, width, and color)
  • Crop or replace the image

Downloading media  

You can download images, audio clips, and voice notes from the Space

  • Images: Right-click an image and choose Download as PNG or Download as PDF.
  • Audio clips and voice notes: Right-click the audio and choose Download audio.
  • From media library: Click the ellipsis icon on the item and select Download.

Voice note visibility  

Voice notes added to the media library are accessible to others in the Space. To restrict access, remove the voice note from the library.
